Events & Calendar
Plan and track card shows, breaks, sales events, and more on your calendar.
Adding Events
To create an event, go to Events & Calendar and click Add Event. Fill in the event details:
- Event Name - A descriptive name (e.g., "Dallas Card Show" or "Friday Night Breaks").
- Event Type - Card show, break event, sale/promotion, holiday closure, etc.
- Start Date & Time - When the event begins.
- End Date & Time - When the event ends (can span multiple days).
- Location - Physical address or venue name.
- Description - Any additional notes or details.
- URL - Link to the event page, stream, or registration (for virtual events).
Event Types and Statuses
Types
- Card Show - In-person card shows and conventions.
- Break Event - Scheduled card break sessions (links to Break Manager).
- Sale / Promotion - Flash sales, discount events, or promotional periods.
- Holiday - Store closures or holiday hours.
- Other - Any custom event type.
Statuses
- Upcoming - Scheduled and in the future.
- Active - Currently happening.
- Completed - Event has ended.
- Cancelled - Event was cancelled.
Setting Dates, Times, and Locations
Use the date/time picker to set precise start and end times. For multi-day events (like a weekend card show), set the start to the first day and end to the last day.
The location field supports free-text entry - use it for full addresses, venue names, or booth numbers.
Recurring Events
For events that happen on a regular schedule (like weekly break nights):
- Create the event as normal.
- Toggle Recurring and choose the frequency:
- Daily
- Weekly (select which day)
- Bi-weekly
- Monthly (same date or same day-of-week)
- Set an end date for the recurrence or choose "No end date" for ongoing events.
Set up your weekly break schedule as a recurring event so it always shows on your calendar without manual entry each week.
Event Checklists (Prep Lists)
Each event can have its own preparation checklist - a to-do list of things to handle before the event:
- Pack show inventory
- Print price labels
- Charge card reader battery
- Bring display supplies
- Post event on social media
Add items to the event checklist and check them off as you complete each task. Great for making sure you don't forget anything before a card show.
Virtual Events with URLs
For online events (live breaks, virtual shows, online sales), add the stream or event URL to the event. This makes it easy to find the link when the event starts.
Virtual events can link directly to your YouTube, Facebook, Whatnot, or any other streaming platform URL.
Tracking Revenue and Attendance
After an event is completed, you can record performance metrics:
- Revenue - How much you earned at the event.
- Expenses - Table fees, travel, supplies, etc.
- Attendance - How many people attended or interacted.
- Notes - What went well, what to improve next time.
This data helps you decide which events are worth attending again and track your event ROI over time.
